Policies are a good way to manage and set expectations and get rid of grey areas for employees. A good expense policy determines how employees should pay for any expense incurred. Set specific conditions for what payment methods can be used, which types of receipts or invoices are accepted and which cost details you need for expense reimbursement. It should show employees which expense categories they can claim (transport, meals, hardware, communications) and what maximum amounts apply (e.g. 50 euro max per participant of a business meal). The policy rules should apply to each member of your organization. The lack of understanding the employee expense policy is a common cause of violations. So make sure the policy is both fair and clearly written.
