Mobile employees pay for their business trips in different ways. With a bank card, a credit card, a fuel card, an NS Business Card or an OV-Chipkaart. This results in an envelope full of payment receipts at the end of the month. As a finance manager, you actually prefer one card because it makes processing expense claims a lot easier.
But how do you respond to changing mobility needs? A universal mobility card can provide this. Because, this payment card can be used to pay all kinds of travel expenses.
With a mobility card, you would ideally like to give your employees access to all types of transport. But most cards offered by major transport companies focus only on their own regional or national services. While in practice, employees need to book different types of transport to get to their final destination.
So how do you make sure they can pay for them with one card?
A universal mobility pass, on the one hand, helps your finance team control travel expenses. And on the other hand, it is easy and convenient for employees to use.

What is a mobility pass?

There are two different definitions for mobility passes. Some people talk about a mobility pass in the sense of travel insurance. Others talk about a loyalty card for transport services.
With a travel insurance mobility pass, you are covered for roadside assistance services in case of a breakdown. They often help you 24 hours a day. Wherever you are. Most cards also offer free breakdown replacement transport, repatriation and hotel accommodation in the process.
The other type of mobility pass is a payment card for various types of (public) transport. These are usually issued by a major transport organisation. The card is linked to your account and can be used for bookings and payments.

Types of mobility cards

In most organisations, employees use different cards to pay for different types of travel expenses. These are then cards from separate carriers and travel organisations.
In all cases, the cards can only be used for the trips or types of transport they offer.
Brand-specific transport cards
Many carriers have their own loyalty programme for business customers. These are known as ‘frequent traveller cards’ and offer benefits such as:
Easy booking
Reserved seating
Bonuses for frequent travel
Pay by invoice
Examples of these ‘frequent traveller’ programmes include KLM´s bluebiz, business accounts for Sixt rental cars and NS-Business card of the Dutch Railways.
Transport partners
Most carriers realise their separate travel offer is not enough for business users. This is why NS works with Greenwheels, taxi companies and OV-fiets, among others.
And Daimler and BMW bundled their car-sharing services under the Share Now brand. There are also national and regional transport associations.
With the Dutch OV-Chipkaart, you can easily travel by checking in and out on all kinds of transport: train, bus, metro, tram and ferry. Or rent an OV-fiets at almost 300 rental locations.
The card is always ready for use, and automatic top-up allows you to ensure that you always have enough balance to travel and you no longer have to queue at a vending machine to recharge.
Booking sites for business travellers
Booking organisations such as BCD and Travelperk focus specifically on business travellers. Through them, you can book with countless airlines and hotels all over the world. One of their many advantages includes the ability to properly manage employee compliance regarding their bookings.
Indeed, as a company, you can determine which types of bookings are allowed and which are not. Large companies such as Springer, Ingersoll Rand and Airbus already use such services.
Fuel card
Fuel cards allow you to fill up at most petrol stations in the Netherlands. With some fuel cards you can also pay for expenses other than fuel. These could be expenses for maintenance, repairs, parking or other general expenses.
Traditionally, fuel cards were offered by the major petrol station brands to encourage loyalty to their products.
Cards to charge your car
When using an electric or hybrid car, employees can charge their car with a dedicated card. They can then charge anywhere at a fixed rate per month.

A universal mobility pass for travel expenses

Employees travelling on business are the external face of an organisation. They regularly visit customers, trade fairs and other events. This involves all kinds of transport costs, which must be paid for.
With a general mobility pass, employees decide how to travel: by plane, train, metro, tram, taxi or public transport.
All expenses can be paid using the same pass. This mobility card can also be used on the road for business lunches, overnight stays and other necessary travel expenses.
With this pass, employees can also refuel, park, pay for an Uber, rent Swap bike or rent or share a car. If necessary, they can even go through the car wash.
Universal mobility cards, such as SimpledCard payment cards, are accepted internationally and have global coverage.

Keep business travel costs in check

Mobility cards are managed centrally. There is no predetermined daily or monthly limit. The card is recharged with a budget tailored to the specific need of the employee or team. This makes this card convenient to use for all kinds of services for business travellers.
As a finance manager, you easily manage the spending limit of each card in real time and online. This prevents personal advances by employees or incorrect financial estimates.
Being able to budget the entire business trip in advance allows you to make informed decisions about future business travel plans.
You order, activate and deactivate the payment cards yourself. In the Card Management System, you track the use of all cards. And you can adjust the spending limit of each team, employee or project per card.
