Students buy licences online and all information about lessons and results can be found online. Yet advances often still have to be made by private accounts.

Education becomes more international, spending too

Advances for and by teachers

Many teachers make their private account available for employer expenses. For instance, advances are deposited there so that teachers have enough money in the account during field trips or internship visits abroad and working visits to industry. Some teachers even receive envelopes containing thousands of euros in cash.
Afterwards, a settlement takes place and the finance department is saddled with receipts that have to be scanned manually, transactions that have to be sorted out and change that has to be processed.
It also happens that teachers have to advance expenses themselves because, for example, advances prove to be insufficient afterwards. This is an unnecessary administrative burden for both the teacher and the finance department.

During a field trip or stay abroad, teachers are given a SimpledCard debit card with sufficient balance on it.
The lecturer returns the prepaid card after the trip and claims can be entered through the app. By taking a picture of the receipt with the app, it is digitised, automatically, linked to the transaction and loaded into the accounts.
In case of theft or loss of the card, it can be (temporarily) blocked in the app and in case of emergency, additional budget can be put on the card immediately. Furthermore, the system notifies of anomalous transactions. Using SimpledCard in this way reduces the risk of fraud.
Both the teacher and the finance department have insight into the budget and can see real-time spending. This saves both parties a lot of time and frustration and provides insight and control. With this, the university or college avoids discussions about expense claims, advances to private accounts, repetitive actions, manual entry of receipts and processing of claim forms.
