Max Models is a leading modelling agency group in the Netherlands with three modelling agencies (Max Models, Touché Models and Ulla Models) and influencer/PR agency L'AGENCY. With global clients in fashion, beauty and lifestyle, the group organises model and influencer bookings, events and campaigns across Europe. The accounting department supports all four companies within the holding company, managing hundreds of expenses per month, from airfare and hotel bookings to last-minute purchases for events.
The team struggled with a “tangle of expenses” in which:
- Vouchers were forgotten or lost;
- It was unclear who they should go to for specific expenses;
- It could not be ascertained whether costs had already been passed on to customers;
- Subscriptions continued automatically without anyone knowing whether they were still being used;
- Real-time availability was lacking: top-ups took too long for urgent bookings.
The insight was simple: you don't solve this with stricter rules, but with a system so simple that people automatically get it right.
The fact that everyone can upload their receipts directly and I can search everything back by model name is golden. So I know exactly whether all travel costs have been charged in the invoices.
The roll-out was done in phases. In 2023, Max Models started implementation at both Max Models and Ulla Models. The training was simple: “Take a picture immediately, throw away the receipt, fill in details later.” The accounting team developed a weekly booking routine where transactions were manually processed in the existing accounting package. No forced links, no technical complexity.
The best example of the transformation came from one of the bookers. She was “a darling girl, but administratively a drama.” Receipts she put in her bag, where they regularly got forgotten or lost. After repeated coaching with SimpledCard, her approach changed completely.
This past Fashion Week, for the first time in her life, she had all the receipts, and we are talking about 50 to 60 receipts, just neatly in the system. Nothing lost. The result? 100% receipts-compliance. The structure was suddenly clear: for each expense, it was immediately visible which model, which job, and which employee it concerned. Cards could be upgraded within seconds, even outside office hours for emergency bookings.
