Christiaan Huygens College is the umbrella organisation for our three schools in Eindhoven. Students, parents and staff make the school together. The three schools are different and each school steers its own course within the identity of the Christiaan Huygens College. There is room for all staff to do things ‘differently’ and share knowledge. This gave the finance team the freedom to redesign the entire payment and declaration process for employees. The impetus to start using SimpledCard was the fact that advances were provided to supervisors and teachers. For teaching sections, purchases were made by teachers. Think of office supplies, for instance. But advances were also provided for excursions, exchanges and occasional activities such as staff outings. This was in the form of transfers to a private account or sometimes simply through cash.
There had to be a clear separation between private and business. Employees preferred not to receive advances on their own account. Reason enough to look for a good alternative, which SimpledCard was able to offer.
From the outset, the choice was made to read the mutations made in SimpledCard almost fully automatically into AFAS Profit. When using the standard reports, action had to be taken first to read in the transactions. For internal and external audits, you simply need a complete overview, including the receipts. This complete report is a must for most accountants. With the installation of the API, this is now completely automatic. “It's a matter of starting an application within SimpledCard and everything, including receipts, is read into AFAS Profit without further intervention. That really is a profit moment,” Martien Schmitz says.
AFAS Profit is an advanced system that is set up differently for many organisations. “SimpledCard was open to listening and thinking along with us about the improvements we deemed necessary. Several things we indicated and wanted to have set up differently, they expertly implemented,” says implementation partner Maarten van Dril.
