Cash is still used in many healthcare facilities. Administration is time-consuming and employees are busy with accounting tasks. Often, the administration is left with loose receipts, cash differences and incomplete declarations. Not to mention the risks associated with cash. Working cashless has the advantage of faster and safer work. What could that look like for you - cashless working in healthcare?

Residential groups with a pass instead of a greenhouse

At psychiatric institutions and in youth care, there are often several locations with a small cash box with cash and loose receipts at each residential group. The same applies to other inpatient care facilities such as nursing and care homes. Employees regularly advance amounts, for example for supermarket purchases. Claiming is a cumbersome, expensive and unverifiable process.

A payment card for itinerant supervisors

A cup of coffee, activity, birthday card, roll of tape or a flower. Even within primary care, things are still sometimes advanced. Besides being annoying for itinerant carers to use their private account for work, they are left with hassles around claiming after advancing small amounts. 

Issuing prepaid debit cards

The solution for residential groups and itinerant supervisors is a prepaid debit card. A prepaid debit card works just like a normal bank card, only you issue these debit cards yourself. You put a certain amount on the debit card and give it to the employee. The card is not registered by name, so it can be used by several employees. Employees will feel a lot safer as it is no longer necessary to go out on the streets with cash.

Limit per pass

Better cash management organise easily with SimpledCard. With the payment system, you have the freedom to manage spending limits for multiple cards online. In practice, the spending amount can fluctuate per month. Therefore, an amount can be automatically added to the balance daily, weekly or monthly. The balance can also be topped up to a certain amount making it impossible to “save” with the card, so to speak. Should less be spent by companions during a month, the limit can also be reduced. An amount can also be deposited directly onto the pass in case of an emergency. So, as an organisation, you have control over how much is spent per period.

Contactless payment

Prepaid debit cards also allow contactless payments. No PIN code needs to be entered. If the payment terminal is suitable, contactless payments can be made with the SimpledCard card. The limit for these payments is automatically set at €25. If the amount is higher, you will still be asked for a PIN code. The PIN code is always easy to retrieve in the mobile app. 

Mobile claims management

When a purchase is made, a picture of the receipt can be attached to the transaction online. All transactions are digitally viewable, allowing the administration to process expenses much faster. After checking the expenses, the data can be easily imported into the accounting system.
